SUMMARY

The Office Services Coordinator is the face of Firefly Aerospace. We are looking for a friendly, energetic, highly organized individual to welcome guests and provide overall office support to our Cedar Park Headquarters. You will be responsible for the managing and upkeep of our office supplies, supporting planned (and spontaneous) events and lunches, and supporting the HR team as well as others, when needed. This position requires close interaction with management, other employees, and external parties, therefore interpersonal skills must be a priority. The ideal candidate for this position is someone who can efficiently perform tasks in a group or individual setting, is not easily overwhelmed, and is an eloquent communicator!

RESPONSIBILITIES

  • Greeting Visitors and guiding them through our security protocols.
  • Provide great customer service with incoming calls and walk-in requests.
  • Make travel arrangements, such as booking flights, cars, and hotel reservations.
  • Assist in planning and coordinating onsite and offsite company events and lunches.
  • Keep reception area clean and organized.
  • Order and manage all office supplies.
  • Provide HR and other departments support, as needed.
  • Updating seating charts.
  • Assist with onboarding process of new hires.

QUALIFICATIONS

Required

  • Proactive, adaptable and self-driven, with the ability to anticipate needs and find solutions to unforeseen complications.
  • Professional level verbal and written communication skills
  • Ability to prioritize and handle multiple tasks while maintaining deadlines.
  • Must be able to work both independently and as part of a team.
  • Proficient in Microsoft Office Products, including word, outlook, excel and teams.
  • Must be available Monday-Friday from 8am-5PM CST onsite and occasional overtime.

Desired

  • 1-3 years of experience in an office administrative role.
  • Event planning experience.
  • Strong organizational skills.
  • Passion for Aerospace.
  • Comfortable in a startup and high growth environment.
